How to choose a booking system for your business – 10 questions before you commit

24 October 2026

There are many booking systems today, and on their websites they all look alike. The differences show after a month of work – in the real price, in the reminders, and in whether your clients actually manage to book on their own. Here are 10 questions to ask before you choose.

1. What does it really cost?

Check not only the monthly price but also: is it per team member, is there a fee on new clients, how much do SMS messages cost, and what happens after the trial.

2. Is there a fee on clients?

Some systems take a percentage on new clients who come through them. It can add up to a lot – worth knowing in advance.

3. Can clients book by themselves, from their phone, without downloading an app?

A link that opens straight in the browser is simplest. Every extra step (sign-up, download, password) loses clients along the way.

4. In which language?

In Israel there are clients in Hebrew, Russian and English. A system that shows each client the booking page and reminders in their own language saves a lot of confusion.

5. Reminders – automatic, and through which channel?

An SMS reminder before every appointment is a must. Check that it goes out by itself, includes a cancel link, and how much each message costs.

6. Can you bring your existing clients?

If you have a client list from another system or a spreadsheet – make sure you can import it, including phones and birthdays.

7. What about a team?

A calendar per team member, different hours, services only some of them do, and staff who see only their own appointments.

8. What does your field need?

A salon needs processing time while colour develops and a colour card per client; a fitness studio needs punch cards and a waitlist; a beautician needs before & after photos and treatment courses. A system that's too generic will make you work around it.

9. Does the system bring new clients?

A business page that appears on Google, verified reviews and presence in search – these bring clients, not just manage them.

10. How easy is it to start?

Try it yourself: within how many minutes can you sign up, add services and send a link? If after an hour you still haven't – that's a sign.
