How to reduce no-shows and last-minute cancellations – 8 ways that work

24 October 2026

Every business that works with appointments knows the moment: the time comes, the chair is ready, and the client doesn't turn up. No call, no cancellation. That hour won't come back – and sometimes you turned away another client who wanted exactly that slot. The good news: most no-shows are forgetfulness, not bad intent – and forgetfulness can be fixed.

1. An automatic reminder before every appointment

This makes the biggest difference. An SMS or email the day before (or a few hours before) reminds the client what, when and where. It matters that the reminder goes out by itself – manual WhatsApp reminders get forgotten on exactly the busiest days.

2. A cancel or change link inside the reminder

It sounds backwards, but it works: a client who can cancel in one tap cancels instead of simply not showing up. An early cancellation is gold, because it frees the slot for someone else.

3. A waitlist for slots that open up

When someone cancels, the question is how fast you can fill the slot. A waitlist that automatically notifies waiting clients turns a cancellation into a new booking – without sitting on the phone.

4. A clear cancellation policy – that the client accepts

Write it in a few words: until when one can cancel, what happens when someone is late, what happens when they don't come. When the client ticks "I've read and accept" while booking, they take it more seriously – and you're covered when you need to talk about it.

5. Let clients book themselves

A client who picked the time themselves picked a time that really suits them. Appointments set "on the go" over the phone, when the client isn't looking at their own calendar, are the ones that get forgotten or clash.

6. Don't book far ahead without an extra reminder

An appointment set six weeks ahead is easily forgotten. Far-off appointments deserve an extra reminder – or book them closer to the date and remind the client "it's time for your next visit" when the time comes.

7. Notice the clients who do it again

Most of the problem comes from a few clients. When the client card shows a history of no-shows, you can ask them to confirm on the day, or offer them only slots that are easy to fill if they cancel.

8. Thank those who come

A short message after the visit ("Thank you – how was it?") builds a relationship. Clients who feel a personal bond with the business show up – or at least let you know when they can't.

How it works in Lumi

  • SMS and email reminders go out by themselves, with a cancel/change link, in the client's language (Hebrew, English or Russian)
  • A waitlist: when someone cancels, the waiting clients get a message
  • A cancellation policy the client accepts while booking
  • "Time for your next visit" – an automatic reminder based on how often each client returns
  • An automatic rating request the day after the visit
